Hi,

Hoping there are some M365 wizards on here as I'm having a problem with M365.

My small business as an M365 account with 4 users, all with Business Basic licences assigned. We also had licences for what I believe was Teams free version.

Earlier this year we got a notification from MS the free version was going and we needed to buy licences for Teams Essential. This is where the problems started!

If I unticked the free Teams licence, the user's mailbox disappeared and became unreachable for inbound emails. If I reticked it, the mailbox reappeared. To make life easier, I purchased four Teams Essential licences and allocated them to each of the four users. Meanwhile the old Teams was due to run out today.

At some point this morning, all of our mailbox limits went from the 50GB we had with Business Basic to 2GB! Two of the four mailboxes exceeded the 2GB limit and, as a result, stop receiving emails with inbound emails being rejected with 'mailbox full' replies. In addition, Outlook clients stopped connecting and now show 'Disconnected' so we can't even temporarily move emails to a local archive to help bring them below the 2GB.

I raised a ticket with MS who turned out to be pretty useless - the struggled to grasp that the mailboxes were absolutely fine until mid morning, and that the mailbox limits have dropped to what I guess is the one you get with free mailbox??

Luckily I had Exchange local cache set to full and so as an interim fix, did a mailbox export and then attacked my mailbox to get it below 2GB, at which point emails started working and Outlook reconnected. My wife, however, isn't so lucky. Somehow her Outlook is set to cache 1 year only so an export does't have all of her emails in and we can't lose enough emails to get below 2GB. End result is she's not getting emails and I'm getting grief!

The instructions the support guy gave don't seem to work (including removing and reassigning licences).

My guess is the old free Teams licence has buggered up the accounts somehow, such that when Teams licence ended, it made M365 think these are free accounts even though they still show as having Business Basic licences.

Any suggestions to the wise PH folk would be much appreciated!

---

Update - It seems mine has returned to 50GB - the only thing I did was remove and reassign licences but that was an hour ago and it didn't seem to take effect. Does it take a while to update?

M365 business basic does have a teams licence, there should be no need for additional licences.

Funny you should say that as I did wonder if that was the case, when I saw it in the list of Apps under Business Basic. Thanks for setting me straight as the emails from Microsoft were, frankly, confusing and useless (and I'd consider myself reasonable competent in this stuff!)

If that's the case, I'll try disabling the Teams Essential and it all works as it should, I'll cancel the subscription.

Well it seems I was being impatient! biglaugh

Removing and then reassigning seems to have fixed the issue and the mailboxes are back to their correct size again, it' just took longer to take effect that I anticipated.

It looks like the separate free Teams licence caused some sort of M365 headache - no idea why but it looks like it's fixed so that's all I care about biglaugh

At least I now know Business Basic includes Teams and I can bin the extras I bought, plus I've learnt a bit more about M365 admin than I did when I woke up this morning!
