Is there any software that will pop up when an email comes up to allow you to back up the contacts.

I know I could just do it everytime on excel but in the real world this does not happen.

If it popped up everytime one came in I would want to save

CONTACT NAME
BUSINESS NAME
TELEPHONE NUMBER
EMAIL ADDRESS
BUSINESS AREA -

If not do you think I could get anyone to design this if I approached a software freelancer?

If you use Google Apps / Gmail then any incoming address is stored in your address book automatically.

Which version of Outlook? Might be few tools on slipstick.com to help.

Problem lies in the value of such a tool. Right click the email address and select Add to Outlook Contacts from the menu, fill in your fields and click Save is a fairly simple operation, to the extent that you could whizz up a macro, and assign a button to it in about five minutes. The you have some measure of control about which emails you do it to, rather than having every bit of spam driving you bananas.
