Hey,

I Only have a very small fleet 3 vans and a pick up truck. Was wondering if anyone has any experience of a fleet solution that will register who’s driving and allow me to keep on top of basic vehicle checks and damage limitation? Possibly vehicle tracking as well. I seem to google it and there’s a million companies.

I’ve a fleet of eight in one of my businesses. We’re half paper-based and half electronic. We assign vehicles to individuals the day before and the driver acknowledges he will be driving that particular vehicle the following day - via company email with a dedicated mailbox set up for this acknowledgment.

We then have a NCR document for daily checks / mileage reporting / dates and times of activity. The Driver then signs for the hours he’s had the vehicle key and acknowledges ‘custody and control’ of the vehicle with his/her signature.

We operate a tracking system from TrackerShop UK but that only shows what the vehicle is doing. We then audit the NCR returns with the times in and out against the tracker as a fall-back/fail-safe.

We looked at a solution from a Company called TeleTrac NavMan where the Driver had to key in a four digit PIN code before starting the vehicle which would then log him/her as the Driver. I was advised against by others as if I got to know your u unique code, I could theoretically, log the vehicle I’m using under your unique code so fines etc. would be down to you and not me. A signature, believe it or not, negates the need for this costly tech and would stand up in a court opposed to a flash system.

Hope this helps. It’s a basic system but it’s never caused us any issues and I’ve run it like this for years.
